Email Setup

    General Information

  1. What is the difference between email forwarding accounts and POP3 email accounts and how can I create them for my domain?
    An email forwarding account is an email account you can associate with your domain that forwards to existing email address. A POP3 email account is email account that is saves your email on the server to be downloaded locally. Both types of email accounts can have numerous email aliases associated with them.

    You can create users for email forwarding accounts or POP3 email accounts using your site admin.

  2. How do I add or change the aliases for a user?
    1. Log in to your site admin.
    2. Go to the "user management" area.
    3. Click the "modify email" (envelope icon) for the user that you want to modify. If the user doesn't exist, you will first need to create the user.
    4. Add or change the aliases that should be associated with this user.
    5. Select "Save Changes" when you are finished or "Back To User List" to abort your changes.

  3. How can send all unresolved email to one default email address?
    1. Log in to your site admin.
    2. Go to the "user management" area.
    3. Click the "modify email" (envelope icon) for the user that you want to modify.
    4. Add or change the alias to @www.yourdomain.com.
    5. Select "Save Changes" when you are finished or "Back To User List" to abort your changes.

    This will create a global maildrop for that user which will receive all the unresolved email. Any other email aliases that are created for other users will override the default email address.

  4. How do setup my email program so that it displays my domain-specific email address?
    To help you with this, we have created some screen shot examples of the email identity setup for some popular email programs.
  5. Are you running a SMTP mailserver so I can send out email through my domain?
    We are not running a separate SMTP mailserver and do not enable email relaying because it creates a potential security risk which might allow unauthorized users to send spam through our customer's domains. You should use your ISP's SMTP server for outgoing mail.
  6. I keep getting email that is intended for a user on another domain. For instance I have the address info@mydomain.com, but for some reason I've also been receiving email sent to the address info@anotherdomain.com. Why is this happening?
    This is a unix/sendmail issue that occurs when sites are hosted as virtual domains (which is our current configuration). If an email is sent to a user that doesn't exist for a domain, the system will then automatically look for that username on the system and deliver the email to them. We can't prevent this from happening, but one work-around would be to change your username to something else like "info5". You'll still be able to alias whatever email address you want to that user (like info@) and that way you will stop getting any other misdirected info@ addresses.

    It is a common occurrence when customers choose popular usernames like "info", "contact", "webmaster", etc.

  7. Why do I get a "quota exceeded" error sometimes while reading my email on the server?
    This is happening because when a user accesses a mail box the server temporarily makes a copy of the mail file. This is so that mail can continue to come into the mail file while the user is reading the temporary file.

    The problem arises because each user has set storage limit and does not have enough space to accommodate two copies of the mail file AND whatever other files he has.

    The easiest solution would be to delete some of the old mail files (such as the sent files). Another option would be to move up to the premium hosting account which is 250MB of storage and then increase the limit for the user in question.

  8. How do I setup automated vacation replies?
    1. Log in to your site admin.
    2. Go to the "user management" area.
    3. Click the "modify email" (envelope icon) for the user that you want to modify. If the user doesn't exist, you will first need to create the user.
    4. Check the "Vacation Message" box and add the corresponding text that you want to be used for the vacation reply.
    5. Select "Save Changes" when you are finished or "Back To User List" to abort your changes.


    Forwarding Email

  9. How do I change the destination email address that a user's forwarding account forwards to?
    1. Log in to your site admin.
    2. Go to the "user management" area.
    3. Click the "modify email" (envelope icon) for the user that you want to modify.
    4. Change the email address in the "Forward Email To" field to the new destination address.
    5. Select "Save Changes" when you are finished or "Back To User List" to abort your changes.

  10. How do I change a forwarding email account to a POP3 email account for a user?
    1. Log in to your site admin.
    2. Go to the "user management" area.
    3. Click the "modify email" (envelope icon) for the user that you want to modify.
    4. Removed the email address from "Forward Email To", leaving it empty.
    5. Select "Save Changes" when you are finished or "Back To User List" to abort your changes.

    Now, but default, email will start collecting on the server and can be downloaded to be read locally or read directly on the server using pine through your shell account.

  11. How can I forward one email alias to multiple email addresses?
    This can be done by creating .forward file in your users directory that has a comma-separated list of email addresses. That way any alias associated with that user will forward to all the recipients on the .forward file list.

    Here's how it is done. Create a new user for the forwarding alias(es) and make sure that you list the appropriate alias(es) for the user in the alias field. Next, login the shell account as the new user and create a new file called .forward in the user's directory. Edit the new .forward file and add each target email on one line, each separated by a comma. Save your changes to this new file. Now when you send an email to an alias associated with this user, the email will automatically be forwarded to each of the recipients listed on the .forward file.

    If you have any trouble with this, just let us know what user you want to provide forwarding for and the list of addresses that it should forward to and we will set it up for you. We would only recommend this for a few forwarding addresses, not as substitute for a fully functional email list.


    POP3 Email

  12. How do I change user's password for POP3 email access?
    The password for a user can be changed using your site admin.
  13. How do I change a POP3 email account to a forwarding email account for a user?
    1. Log in to your site admin.
    2. Go to the "user management" area.
    3. Click the "modify email" (envelope icon) for the user that you want to modify.
    4. Add the email address you want to forward to in "Forward Email To" field.
    5. Select "Save Changes" when you are finished or "Back To User List" to abort your changes.

    Now, email will start forwarding to the email address that you specified.

  14. How do I configure my email application for POP3 email?
    For your incoming server use:

    server name: yourdomain.com
    server type: POP3 server
    username: your username
    password: your password

    For your outgoing server use your ISP's SMTP settings.

    To help you with this, we have created some screen shot examples of the POP3 email setup for some popular email programs.

  15. Can I check my POP3 email through the Viet Internet website?
    We do not offer web-based access to your POP3 account, but you can use any common stand alone email applications such as Eudora, Netscape Messenger, Outlook to access POP3 email. You can also use free browser-based email websites such as Yahoo! Mail, Netscape WebMail, Excite, Hotmail any many others that can be configured to read external POP3 email.
  16. Can read my POP3 email directly from the server shell?
    Yes, you can do so using a program called Pine (Program for Internet News & Email) which is already installed on our severs is a great little application for sending, receiving and reading email from the Linux shell. To use Pine, access you shell account on the server, type "pine" and you'll be able to access your POP3 email. We do not provide specific support for any shell functions, including reading email from your shell account.
  17. How do I associate my domain name for outgoing email sent using Pine?
    Launch Pine and on the main menu select "Setup" and then the "C" (configure) option. On the Setup Configuration menu scroll down to "user-domain", enter "A" (add value) and then type in your domain name. Finally enter "E" (exit setup) and then "Y" to commit your changes. After that all outgoing mail sent through pine will reference your domain name.


    Email Lists

  18. I created a mailing list using the "List Management" feature for my site, but the list does not seem to be functioning correctly. What's wrong?
    The email list function on our servers is essentially a glorified email alias which allows multiple recipients to receive email from one email alias. There is currently a bug in the server management software that is causing the list feature to malfunction. Cobalt, the manufacturer of the server, is aware off the problem, but there doesn't look like there is going to be a patch in the near future. We have always considered the list function a bonus feature (we do not charge extra for it) and something that is not essential to providing web hosting for our customers. We are no longer listing it as a feature that is included with our hosting packages.

    If the goal is to send email to one alias that forwards to multiple recipients, then we would suggest creating a .forward file.

    If it is a email list that you are trying to create, then consider one of these options.

  19. I want to create an email list for my site, what would you suggest?
    1. First off, DO NOT use the "List Management" feature through your site admin. There is a bug in the server management software that is causing it to not function correctly.
    2. Consider hosting your lists offsite. If you can find someone to host your lists for you using true email list software like ezmlm, majordomo, listserv, etc., then we can create a DNS entry (lists.yourdomain.com) for you at no charge and point to the new list host server.
    3. Try using one of the numerous free email list services like Topica.com. They have fairly advanced list functionality such as list digests, custom headers & footers and so on. Usually they will provide you with code that you can add to your site so people can subscribe/unsubscribe themselves.
    4. Some ISP's offer email list services. Check with your ISP and see if they have that option.
    5. Another option for small lists is to run a cgi-based mailing list which sends email to recipients who are listed on a text file.
